Optional Methods of EWB Entry

The EWB System provides two different methods of sending Extra Work bill information to the Resident Engineer for approval and payment.

On-line Data Input Option:

The primary method for the majority of Construction contractors entering EWB data into the Extra Work Billing system is through web-based On-line Data Input. This method enables any contractor with PC, web-browser and Internet access to enter EWB information directly into the system using an input screen that looks very similar to the standard EWB input form. EWB data that has been correctly entered and validated, is automatically forwarded to the appropriate Resident Engineer (RE) for review and approval.

The key advantage of this alternative is that it contains many features that make entering Extra Work Billing data easier than manually filling out paper forms. It has pick lists that are appropriate for the Contract Change Order and date the Extra Work was performed. It allows copying an existing Extra Work Bill to minimize the amount of re-entering duplicate data. It also has extensive on-line help.

File Transfer Protocal Option:

The second alternative, File Transfer Protocal, is primarily designed for those contractors with existing in-house Extra Work Billing systems. It provides a way to transfer electronic versions of Extra Work Bill data to an FTP server where the bills are processed and loaded into the EWB system. Once the bills have been loaded, they will be accessible to contractors for review using the online application. If a format error does occur, an electronic error report will be generated and sent back to the contractor FTP data directory for their review and correction.

The primary advantage of this alternative is the ability to use your existing in-house Extra Work Billing systems to eliminate manually filling out paper forms.

To use the File Transfer Protocal Option, Caltrans Contractors must be certified for FTP submission. To start this certification process the contractor must apply for a new account on the EWB System and register for a training class. If you wish to be certified, please download the "New Account Request" form, complete it and mail, fax or email it to the appropriate Caltrans administrator.
